Archive One: Compliance Manager
Overview
Regulatory Compliance
archiving for Microsoft Exchange
Archive One creates a secure, indexed email archive to assist
organizations in meeting regulatory requirements. Its menu-driven
admin, search and retrieval functions are intuitive for use by the
Administrator or Compliance Officer, yet flexible to execute fast,
multi-criteria searches
Benefits
- Enforces critical email retention
Archiving internal and external email to secure, indexed
repositories, ensures administrators find critical message content
rapidly.
- Exceeds due diligence expectations
Maintains full and demonstrable records of every email transaction
suitable for all audit requirements.
- Helps meet compliance demands
Compliance Manager stores email information for regulatory
requirements such as SEC, NASD, NYSE, Sarbanes-Oxley, ISO, HIPAA,
BSI, Basel II and others.
- Manages legal risks
Retention criteria are enforced automatically, deleting appropriate
archived data in accordance with regulations therefore avoiding
unnecessary disclosure.
- Imposes legal Hold
Compliance Manager retains the items pertaining to legal matters to
make sure evidence is not lost.
- Improves email search and retrieval
Administrators use intuitive multiple search criteria, making it
quick and easy to find lost email or specific correspondence and all
related data.
- Is easy to implement, maintain and manage
All functions are controlled by the administrator and are enacted
away from the end user. Email users need not be aware that
Compliance Manager has been installed.
For administrators the quick wizard-guided install, simple admin
controls and standard interfaces minimize the Total Cost of
Ownership.
- Reduces storage volumes
To save on storage space, archived email can be compressed without
losing message integrity.
- Archives more than just email
Instant Messages, SMTP mail, Bloomberg Messages and
information from RSS feeds can all be placed into the archive.
Features
Compliance Manager can be installed and configured in minutes. It
utilizes Exchange Server Journaling technology to capture copies of
every new internal and external email. This email data is then
extracted and indexed by Compliance Manager to allow fast data search
and retrieval. The data is compressed and archived to the storage
medium which best meets the compliance demands of your organization.
Compliance Manager maintains the integrity of archived messages.
On restoration it automatically decompresses, rebinds attachments and restores
archived messages to their original format. Restored messages are presented to
the administrator in their original form and also exported for further processing or
analysis by auditors or legal
departments.
Enhanced compliance security
Senior administrators are able to implement tiered delegation,
allowing lower level operators to perform their duties without
jeopardizing the security of the whole archive and the compliance
information therein.
Multi-criteria search & retrieval
Pre-indexing technology enables rapid search of the archive stores.
Searching and retrieving messages is easy through the administrator driven interface.
Additional features such as proximity searching make it even easier for the administrators
to retrieve the information they require exactly.
Extensive Retention period controls
Compliance Manager supports multiple retention periods to allow the
organization to meet differing compliance regulations for different groups or job functions.
Messages are removed automatically once the retention period is passed. Retention periods
can be extended or reduced in line with changes in regulations.
Legal Hold
Enables sets of grouped or tagged items to be placed into a ‘hold’
state so that they can’t be deleted, either intentionally or by
mistake. Used while internal or external investigations are
on-going.
Random Samples
Enables administrators to set up a random ‘1 in X’ sample of data for
search and retrieval - this is valuable for any email system auditor who needs to be sure
that users conform to internal policies and external regulations.
Managed Samples with Scheduled Retrieval and Controlled
Handover
Scheduling retrievals enable regular, unsupervised samples to be taken.
This is done by searching the archive and retrieving items a mailbox,
public folder or a portable PST. The handover of these items to subject experts is controlled
and their feedback can be logged. Using the Managed Sampling feature helps organizations to
ensure that email system audit processes are in place and helps to check that they are being
followed.
Multiple Investigation Groups
Investigation Groups allow the separation of items for governance,
compliance or special projects (e.g. HR search). This function enables administrators to
create multiple, overlapping or independent, groupings of email and other message items (e.g.
calendar items, contact details etc).
Auto Tagging
This allows for tags to be applied automatically to items immediately on
archiving from the mail system. Relevant items are chosen for tagging using customizable
filters.
Fully integrated audit trails
In order to ensure the integrity of the archive all activity both into
and out off the archive repositories is monitored continuously. Compliance Manager
automatically maintains audit trails of all critical activities.
Combined Search
When performing a search in a full Archive One the administrator can
see full details of when and why items have been archived. This provides information on how
and where items are being used within the message system as well as when they were received
or sent
Automatic indexing
Compliance Manager automatically creates an index of the email prior
to archiving. This index is also placed into the archive to enable high speed search &
retrieval of email.
Scalable structure
Compliance Manager captures email for tens to thousands of users. The
combination of powerful archiving engine, multi repository based storage architecture and
administrative hierarchies make the Compliance Manager architecture fast and reliable for both
small and large organizations.
Automatic Failover Architecture
Archive One solutions can be architected to provide automated failover
and so maintain full system functionality even if individual archiving components fail.
Archiving repositories
Compliance Manager repositories are individual logical storage databases,
specified by the administrator. The repository architecture provides a highly flexible and
portable set of storage containers, easily configured to meet dynamic organizational
archiving needs.
Storage compression
To save storage space all information is compressed using standard
algorithms as it is placed into archive.
Archiving to any storage media
It is easy to move the archive from one set of storage media to another
at any time. Compliance Manager archives to a variety of storage media, including WORM
devices, either directly or through storage management software such as CA BrightStor ARCserve
Backup, HP OpenView Storage Data Protector, PowerFile, Atempo, BakBone, PoINT or QStar HSM.
Compliance Manager also integrates with EMC Centera.
Wizard implementation
The wizard driven installation process, along with clear MMC based
management GUI with intuitive management node groupings, reduce implementation and adoption
timescales.
MMC interface
Compliance Manager is driven via a standard Microsoft MMC interface so that
administrators can use Compliance Manager immediately without specialist training. This reduces
configurations times and results to low on-going running costs.
Integration framework
Compliance Manager has a multi-dimensional integration framework which
provides smooth connections with third party applications such as application control, file
management, records management or messaging systems.
Federated Search Support
Enables Microsoft Search Server 2008 to integrate with archived content
within Archive One Policy, allowing users to search archived data from Microsoft Search Server
2008.
IM, SMTP, RSS feeds and Bloomberg messaging
Compliance Manager supports Instant Messages, SMTP mail, RSS web feed web
data and Bloomberg messaging system data by storing data within the archiving repository
system.
